The GSSC (Global Shared Services Center) is a centralized internal entity that houses non-sales functions (such as HR, IT, Marketing, Finance and others) under one roof to support the group’s business needs.
Job Description
About the job: This position will be based in the GSSC office in Mumbai and collaborate closely with the Bids, Contracts and Tenders Team at our head office in London. They will help produce high quality, persuasive and visually strong tenders, proposals, presentations and client-facing materials. The role combines practical bid co-ordination with graphic design, ensuring every submission is compliant, accurate, on-brand and delivered to deadline.
Key Responsibilities:
- Bid co-ordination: from initial receipt through planning, production, review and approval
- Tender co-ordination: review tender documents and identify submission requirements, deadlines, page limits, formatting instructions and required evidence
- Content creation: format and design proposals, capability documents and presentations, case studies, CVs, organizational charts, infographics and supporting collateral
- Graphic design: use Digital Content Creation tools such as Adobe InDesign to produce polished, structured and visually engaging bid documents. Use the wider Adobe Creative Suite, particularly Illustrator, Photoshop and Acrobat, to create graphics, edit images, prepare artwork and produce submission-ready PDFs.
- Quality check and maintenance: proof-read documents for accuracy, consistency, branding, layout and compliance. Create and maintain proposal templates, style sheets, graphic libraries and reusable bid assets.
- Stakeholder management: professionally follow-up with internal and external stakeholders on actions, maintain version control and keep submissions on schedule
- Continuous improvement: support the development of interactive PDFs, including navigation, hyperlinks, buttons, embedded content and other digital features where appropriate. Work with the team to improve bid design, production methods and the overall quality of ACS submissions.
Qualifications
Educational Qualifications:
- Bachelor’s degree in any discipline
Required Skills:
- Excellent written and verbal communication skills in English
- Proficiency in office software (MS Office and Google Workspace)
- Advanced working knowledge of Adobe InDesign
- Strong capability across Adobe Creative Suite, particularly Illustrator, Photoshop and Acrobat
- Excellent document-layout, typography and visual-communication skills
- Ability to interpret tender instructions and maintain submission compliance
- Strong sense of visual design principles and meticulous attention to detail
- Ability to organize multiple projects and manage fast-moving deadlines
Work Experience: Minimum of 3-5 years’ experience in producing bids, tenders or proposals in an international or professional-services environment. Proven experience in developing infographics, process diagrams, data visualizations and executive-level presentations.
Desirable: Experience in creating interactive PDFs, digital publications or multimedia proposal documents. Experience in building or administering bid microsites, landing pages, digital sales rooms or other secure online proposal environments.
